  • Account information: name, email address, role, and organization affiliation provided during onboarding or invitation.
  • Workforce data: crew member profiles, availability and capacity, time-off requests, project assignments, and related HR records entered by your organization.
  • Job application data: resumes/CVs, LinkedIn profiles, expected salary, English proficiency level, and screening question answers submitted through our public careers pages.
  • Location data: addresses and location information you provide, which may be validated using Google Maps services.
  • Financial and accounting data: information synced with QuickBooks for payroll and accounting purposes, where your organization has enabled this integration.
  • Usage data: pages visited, features used, and interaction data collected automatically through analytics tools such as PostHog.
  • Authentication data: a session cookie used to keep you signed in and enforce role-based access.

2. How We Use Your Information

  • Provide, maintain, and improve the Platform's features, including crew member management, capacity planning, time-off tracking, careers/job applications, onboarding workflows, and AI-assisted suggestions.
  • Authenticate users and enforce role-based access controls.
  • Communicate with you about your account, service updates, and support requests.
  • Sync accounting data with QuickBooks where your organization has enabled this integration.
  • Analyze usage trends to improve the Platform's usability and performance.
  • Comply with legal obligations and enforce our Terms and Conditions.

3. Legal Basis for Processing

Where applicable law requires a legal basis for processing (e.g., under the GDPR), we rely on: performance of a contract with your organization, our legitimate interest in operating and improving the Platform, your consent where required, and compliance with legal obligations.

4. How We Share Information

We do not sell your personal information.

  • With your employer or client organization's administrators, who manage access and data within their own account;
  • With third-party service providers who help us operate the Platform, including hosting providers, QuickBooks (accounting), Google Maps (location services), and PostHog (product analytics);
  • When required by law, regulation, legal process, or governmental request;
  • In connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

5. Data Retention

We retain personal data for as long as necessary to provide the Platform and fulfill the purposes described in this policy, or as required by law. Job application data may be retained for a limited period after a hiring decision to comply with applicable employment record-keeping requirements.

We use technical and organizational measures, including encrypted authentication cookies, role-based access controls, and secure infrastructure, to protect your information. No system is completely secure, and we cannot guarantee absolute security.

8. Cookies and Tracking Technologies

We use a session cookie to keep you authenticated and analytics cookies/scripts (PostHog) to understand how the Platform is used. You can control cookie preferences through your browser settings, though disabling essential cookies may prevent you from using the Platform.

The Platform integrates with third-party providers such as QuickBooks, Google Maps, and PostHog. These providers process data under their own privacy policies, and we encourage you to review them.

10. Children's Privacy

The Platform is intended for use by working professionals and is not directed at children under 16. We do not knowingly collect personal information from children.
